Develop a proposal for your final technical report and deliver this proposal in a five-minute (maximum)
oral presentation; this proposal should address the intended audience, the content, and the purpose of your
report. Your proposal will be assessed by your instructor and classmates using the rubric discussed in
class.
Specific requirements are being placed on your report in order to ensure that it is of sufficient length and
sophistication to provide a realistic insight into the technical writing process. These requirements are
discussed below because they will undoubtedly influence your choice of topic and format.
Content of the final report
Your final project for this course must be a technical report of the type and quality produced in
commercial, industrial, and government settings, although yours may be somewhat shorter than a typical
real-world document. It should contain all of the essential elements of a good technical report, starting
with a clearly defined audience, content, and purpose.
Remember that “technical” here does not necessarily mean “of or related to technology,” but rather “of or
related to the body of knowledge peculiar to any discipline or specialized area of study.” Thus, both
sculptors and electrical engineers can write technical reports, provided that they are writing about their
respective subjects to convey information to a well-defined audience for a particular purpose.
Remember too that your technical report will not be a term paper. Term papers are author- centered; their
main purpose is to showcase the author’s ability to research and write about a topic. On the other hand,
technical reports are reader-centered; their main purpose is to convey specialized information to one or
more readers to meet a need that the readers have for this information. The best technical reports present a
significant body of original information, or at least present existing information in an original and
innovative way in order to serve the readers’ needs. Thus, to be considered excellent your report will
likewise have to contain primarily your own original material, not merely an uninspired assembly of facts
gleaned from readily-available sources.
Students asked to produce a technical report of this type are often at a loss for an appropriate topic. The
best advice in this regard is to write about a specialized subject with which you are already familiar—a
favorite hobby, a course in school, or a job responsibility. More familiarity with your topic means less
time spent on fundamental research and more time spent on creating an original and innovative body of
work and on making the report mechanically excellent. Because the topic will often be dictated by these
considerations, your report is permitted to have
a hypothetical audience rather than a real one, provided that this audience is plausible (not a council of
little green men on Mars, for example) and that the audience has a plausible reason for wanting to know
about your subject (not merely general interest’s sake).
Use the assessment rubric discussed in class as a guide in determining what qualities are characteristic of
an excellent technical report, and then strive to incorporate these qualities into your own document.
Format of the final report
Producing an accessible and attractive report—one with excellent “mechanics”—is just as important as
writing one with excellent content. Accordingly, certain specific requirements are being placed on your
report to make it representative of real-world documents.
At a minimum, your report must have the following:
? A length of 15 pages including the title page, the front matter, the body, and the back matter
? A title page giving the report title, a submission statement (if appropriate), the date, and the
author’s name [Remember that the report is being submitted to your defined audience, not to your
instructor in this course.]
? A table of contents showing the page numbers of all sections that follow
? No fewer than three sections in the body of the report, including such possible titles as
Introduction, Research Methods, Proposed Work, Findings, Recommendations, Conclusions, and
so on, as appropriate to your topic
? Two or more appendices, the first of which must be a list of references
? A page number ii for the table of contents [The title page, although unnumbered, is assumed to
be page i.]; optionally, page numbers iii, iv, … for continuation pages of the “front matter” such as
additional contents pages, a preface, and so on
? Consecutive page numbers 1, 2, 3, … starting with the first page of the first section and ending
with the last page of the last section of the body
? Separate page numbers for each appendix: A-1, A-2, … for Appendix A; B-1, B-2, … for
Appendix B, and so on
? A header on each page of the body and appendices showing the section name pertaining to that
page [If two or more sections occupy a given page, the header reflects the title of the first section
that begins on that page.]
? A footer on each page of the report (except the title page) showing the page number
? At least seven references documented in APA (American Psychological Association) format,
with no more than three references taken from on-line sources
? No fewer than four original graphical elements such as tables, diagrams, drawings, charts, or
graphs [Any additional graphical elements taken from other sources must have the necessary
copyright clearance in writing, and evidence of this clearance must be submitted along with the
report.]
? An attractive report cover or binding appropriate to the intended audience
